Basics Feedback now provides a means to automatically send a survey invitation based on events that occur within the Class Scheduler Feature. The methodology is very similar to the automatic follow-up survey invitations that can be triggered upon completion of a survey. However, this new method allows you to send an automatic survey invitation to your students without requiring that a prior survey be completed. Importantly you can send an invitation to your baseline survey (or any survey) that is triggered by registration for a class or by marking your student as having attended a class. To do so, you’ll need to add a Class Template Action to your Class Template. You may also want to review your Message Template for the Survey Invitation to make sure the language up to date. Please see step-by-step instructions below.
  1. Go to the Class Templates menu.
  2. Click on the edit template icon for the Class Template you want to work on.
  3. Scroll down to the Class Template Actions header and note the two drop-down menus.
  4. On the drop-down menu to the left, titled “On Event”, select the event that you want to use as the trigger for sending the survey invitation (we recommend “Class Attendance marked attended”).
  5. Next, in drop-down menu to the right, select “send survey invitation”.
  6. Click "Add Action".
  7. In the resulting pop-up window, there are 3 drop-down menu's and you'll need to make selections for each of them:
    1. Survey: choose the survey that you want to send to your students (e.g., fl_baseline).
    2. Message Template: select the survey invitation message template that you would like to be delivered.
    3. Referral Code: Choose the referral code you want to use or indicate no referral code (recommended).
    4. Use the “Send Date” text box if you want the message to be delivered at a later date instead of immediately. Here are a few examples that you could use:
      1. {DATE: now + 45 days}
      2. {DATE: now + 1 month}
      3. {DATE: now + 2 weeks}
      4. {DATE: 1/1/2012}
  8. It may be helpful to add a description as well. This allows you to quickly identify what all your Class Template Actions are used for without having to click on the ‘edit action’ icon for each.
  9. Note that you could use the “Send If” area if you would like to send a particular message to a certain subset of students based on such things as referral codes or flags. Please submit a ticket if you’d like more information about this.
  10. Click “Create Survey Action” and you’re all set.
